How to use this project pricing calculator

Start with the hours you expect to deliver and your hourly rate. Add direct expenses, expected revisions, and percentage allowances for management, uncertainty, profit, and tax planning.

Methodology

The calculator prices labor first, adds explicit project costs, then layers risk, profit, tax reserve, and optional commercial terms.

Formula

minimum = labor + revisions + expenses + project_management + risk
subtotal = minimum + profit + tax_reserve
price = subtotal - discount

Example

A forty-hour project at £95/hour with six revision hours, £250 expenses, and the default buffers produces a price above pure labor so the quote can absorb delivery risk.

Important considerations

Fixed pricing should be backed by scope boundaries, assumptions, revision limits, acceptance criteria, payment dates, and change-request terms.

FAQs

Can I set a 100% discount?

Yes. The result floors at zero so it will not create a negative project price.

Should tax reserve be VAT?

No. This field is a generic reserve for income or business tax planning. Use the VAT Calculator UK for VAT-specific math.
